Approved Minutes - 2021-11-22 Diversity, Equity & Inclusion Advisory Board Meeting Minutes November 22, 2021 Advisory Board members present: Anil Shah, Pat Ginn, Kimvi To, Sonal Haladay, Michael Hanada, Jason Bush, Megan Tian, and Lisa Strader. Staff present: Guilian del Rio: Equity Program Manager and Megan Phelan: Assistant City Manager. Absent: Kristine Artman and Mayor Joe Buck ______________________________________________________________________ I. Call to order – 6:02 p.m. II. Approval of Meeting Minutes – October 25, 2021 a. Anil Shah moved to approve the minutes, Jason Bush seconded the motion. Minutes from October 25, 2021 were unanimously approved by the board. III. Elect New Co-Chair a. Sonal Haladay has stepped down as Co-Chair therefore we will need to elect a new co- chair. b. Pat Ginn nominates Michael Hanada as Co-chair, Jason Bush seconds the nomination. Selection was approved by voice vote. c. Action: Guilian del Rio to update Roster with Michael Hanada and Kimvi To as Co-Chairs. IV. Public Comment a. Rick Cook presents his project on the Hazelia Agri-Cultural Heritage Trail V. Breakout Groups a. Kris Artman is absent so Sonal Haladay will join Courtney Fuller to discuss Human Resource Recommendations and Guilian del Rio will guide Humza Emad and Megan Tian in the Youth Engagement group. b. Zoom’s breakout room feature wasn’t functioning. Meeting was moved to Webex by Megan Phelan. VI. Larger Group Meeting- Subgroups report discussions a. Boards and Commissions – Jason Bush and Michael Hanada i. Recruitment efforts for Boards and Commission. Collaborate with religious. groups and community groups to diversify our Boards and Commission groups. ii. Create transparency around the recruitment listings and communicate commitments. iii. Be transparent about selection process. iv. Collaborate with LOSD specifically the PTA and other parent groups. b. Human Resources - Sonal Haladay and Courtney Fuller i. Focus efforts towards hiring Diverse talent. ii. Train people in departments regarding equitable hiring, recruiting and retention practices. c. Community Engagement- Kimvi To and Pat Ginn i. Removing accessibility barriers and offering city materials in multiple languages. ii. Create a video on “how to” testify at Council meetings. iii. Create welcome gift baskets rather than welcome fairs. iv. Cohost cultural events. d. Facilities and Programs- Anil Shah and Lisa Strader i. Address language and accessibility barriers. ii. Compile translation and interpretation vendors. iii. Connect with various groups to collaborate on specific cultural events. e. Youth Engagement – Megan Tian and Humza Emad i. Solicit feedback from Youth Leadership Council and Youth Action Council. ii. Collaborate with LOSD to recruit students and cohost events. iii. Engaging younger students and include age conscious messaging. iv. Create internship/volunteer opportunities for high schoolers. VII. List of Priorities a. Subgroups will draft a list of priorities and Guilian will compile all priorities together. b.
